Thistle & Vine coordinated every event — venue booking, catering, AV, floral — through a shared inbox, so details got buried in long email threads and vendors sometimes showed up without the latest floor plan.

Centralized event timeline
Built a single event record with timeline, floor plan, and vendor assignments, replacing scattered email threads per event.
Vendor portal
Gave vendors a scoped portal to see their specific tasks and the current floor plan, instead of forwarding the latest PDF by hand before every event.
Contract and payment tracking
Tracked deposits, balances, and contract status per event so staff could see payment status without digging through email.
