Real estate CRM development for brokerages

Leads, agents, deals, and commissions in one system you own.
Broker and agent reviewing leads together in a real estate CRM on a desktop computer

Most brokerages run on four or five tools that don't talk to each other: a CRM for leads, a transaction platform for contracts, a spreadsheet for commission splits, and an inbox for everything else. Real estate CRM development replaces that patchwork with one system built around how your brokerage actually works. Leads arrive and go to the right agent by your rules, every deal moves through your own checklist from contract to closing, and the broker sees pipeline, GCI, and lead source results without exporting anything. If a tool like Follow Up Boss or kvCORE already fits your team, keep it. We build custom when the off-the-shelf tools stop fitting.

Part of our real estate and proptech software work.

What we build

Real estate brokerage software for every kind of team

Independent brokerages

One system for a brokerage that has outgrown a franchise CRM or a stack of subscriptions: leads, agents, deals, and splits under one login.

Teams inside a brokerage

A team lead who wants their own routing, ISA queue, and reporting, connected to the brokerage's systems instead of competing with them.

Multi-office and multi-brand groups

Several offices or brands with shared agents and back office, where each office needs its own pipeline and the owner needs one view across all of them.

Rental and leasing brokers

Brokers who handle more leases than sales, with renter leads, showings, applications, and owner approvals tracked in one place.

New development sales

Sales teams selling units in a building, with unit inventory, reservations, deposits, and buyer follow-up tied to each unit.

Referral and relocation networks

Referral agreements, fees, and status updates between agents and partner brokerages, tracked until the referral fee is paid.

What's included

Real estate transaction management software, built in

Lead capture from every source

Leads from your website, portals, open houses, calls, and texts land in one inbox, tagged with the listing and source they came from.

Routing by your own rules

Round robin, by zip code, price range, language, or listing agent, with a fallback if nobody responds in time. The rules are yours to change.

Follow-up that agents actually use

Tasks, reminders, call and text logging, and email templates on a phone-friendly screen, so follow-up happens between showings.

Deal pipeline from contract to close

Each deal moves through your stages with the key dates attached: inspection, appraisal, financing, and closing, with reminders before each one is due.

Document checklists and broker review

A checklist per deal type, document upload, e-signature through tools like DocuSign, and a review queue so the broker approves files before closing.

Commission splits and disbursements

Split plans, caps, referral fees, and team splits calculated per deal, with a commission disbursement authorization ready to send to the title company.

Agent onboarding and roster

Licenses, renewal dates, plan details, and onboarding tasks for every agent, so nothing lapses without someone noticing.

Reports for the broker

Pipeline, closed volume, GCI per agent, speed to first contact, and which lead sources turn into closings, without exporting spreadsheets.

From lead to closing

How a deal moves through a brokerage CRM

Every step is a place where leads and paperwork usually slip. This is the path we design around.

Step 1

Lead arrives

From the website, a portal, or a call, tagged with its source.

Step 2

Right agent, fast

Routed by your rules, with a backup if nobody answers.

Step 3

Follow-up and showings

Tasks, texts, and tours logged on the agent's phone.

Step 4

Under contract

Key dates and a checklist start the moment it's signed.

Step 5

Broker review

Documents approved before the file can close.

Step 6

Closed and paid

Splits calculated and the disbursement sent.

Our approach

How we run this engagement

01

Discovery

Map every tool you pay for today, how a lead becomes a closing, and where things get dropped.

02

Design

Screens for agents, staff, and the broker, reviewed with the people who will use them every day.

03

Build

Routing, pipeline, documents, and splits, with your existing data moved in and preview links throughout.

04

Launch and train

Go live office by office, train agents on their phones, and adjust rules from real usage.

Tech we use

Built on a proven, modern stack

Next.js

Fast web app for agents and staff, on desktop and phone.

PostgreSQL

Stores contacts, deals, documents, and commission records.

Twilio

Calls and texts logged against each contact.

DocuSign API

Sends documents for e-signature and records them on the deal.

RESO Web API

Pulls listing data where your MLS agreement allows it.

OpenAI

Drafts follow-up messages and summarizes notes for agent review.

Questions

Real estate CRM development questions

Can't find what you're looking for? Reach out and we'll answer directly.

How much does real estate CRM development cost?

It depends on how many of your tools the CRM replaces. A focused first version with lead routing, follow-up, and a deal pipeline is a much smaller build than a full system with documents, commissions, and several offices. Web app MVPs at Avenva start from $1,000. Our app development cost calculator gives a first range, and we confirm a fixed price after a short call.

Should we build a CRM or keep Follow Up Boss, kvCORE, or Lofty?

Keep them if they fit. Those tools work well for many agents and teams. Custom makes sense when you're paying for several tools that don't share data, your routing or split rules don't fit their settings, you run several offices or brands, or you want to own your contact and deal data outright.

Can real estate transaction management software be part of the same CRM?

Yes, and that's usually the point. When deals, documents, and key dates live next to the contact record, nobody retypes a buyer's details into a second system. We can also connect to Dotloop or SkySlope instead if your agents already use them and you'd rather keep that part.

Is custom real estate brokerage software hard for agents to adopt?

It can be, which is why we design the agent screens with your agents and build for the phone first. Adoption goes up when the CRM saves agents time, for example when leads arrive with the listing attached and follow-up tasks write themselves.

Can you move our data out of our current CRM?

Usually, yes. Most CRMs export contacts, notes, and deals to files, and many have APIs. We map your fields to the new system, test the import on a copy, and move it over before agents switch, so history isn't lost.

Do you have real estate experience?

Yes. We built LuxeHQ, the iPhone and iPad app Luxe Miami agents use to send video walkthroughs of every unit, and CitySeek, a Miami rental marketplace. The CRM itself is new work for each brokerage, built around your rules rather than a template.
